- Manage and file project documentation ;
- Track and account for shop drawings, directives, plans, reports, etc. ;
- Write various communications (emails, request for information, meeting minutes, etc.) and provide support in the preparation of site summary documents ;
- Layout various documents: schedule, permit application, tracking tables ;
- Update publication and revision of plans and specifications, and ensure distribution to different people involved ;
- Plan and track contracts / sub-contracts and ensure they are passed on to the various stakeholders until it is signed ;
- Produce, obtain approval and distribute change orders and purchase orders ;
- Maintain the flow of shop drawings, and follow-up with subcontractors and professionals ;
- Draft minutes of the conastruction site meetings and send them to the persons concerned ;
- Classify the project, ensuring that it includes documents and information provided by the Superintendent and the Prevention Officer.
Requirements
- 1 to 3 years of experience as a Project Administrative Site Assistant ;
- Working knowledge of Procore and the Microsoft Office suite ;
- Strong ability to adopt new technologies ;
- Oral and written bilingualism (English clients) ;
- Ability to learn and apply basic construction principles, specifications and procedures ;
- Ability to establish and maintain working relationships with stakeholders, including supervisors and subcontractors ;
- Thoroughness and attention to detail.
